Board Meeting Minutes of April 12, 2025
Present: Lynaire Clipper, Rodney Fry, Jay Jamrozy, Violet Elder, Lydia Borck
Lynaire called the meeting to order at 12:32 p.m. We started with Jay reading the minutes from the January 18, 2025 meeting. The minutes was accepted without correction.
Old Business:
The fountain is in up front running and looking great.
Rodney has contacted the Washtenw County Road Commission and has gotten Phase 3 on the schedule for doing a speed study for Maplelawn and Poplar. We weren't given any information as to the time line for this. Speeding cars is definite concern especially for traffic on Maplelawn.
Lynaire has gotten quotes from 2 Asphalt companies for the repair of the walking path through Aspen Park. The two companies are BMK and Elite. Both quotes were presented to members for their review. BMK's quote was $2,600. Lynaire reported that they did a very thorough job, pictures of the cracked and damaged areas were taken and she was given a detail explanation of what it would take to repair them. Elites quote was less coming in at $1,825 but the person seemed rush and in a hurry. No pictures were taken nor did they walk through all of the concerning sights. Afterwards, Lynaire noticed that Elite's quote did not include the price of a sealer on top and once Elite quoted that cost there was only a $400 difference between the two quotes so Lynaire suggested we go with Elite, because she felt they were more professional and would likely do a better job.
Pet Butler. This is the company that was picking up the waste from the two containers in Aspen Park starting January 2025. Initially they were billing us $10/monthly. Our first invoice came the beginning of February which Violet paid. Then in the beginning of March we received a second invoicing prior to our dated pick up which Violet also paid, but afterwhich a third invoice was sent prompting Lynaire to questioned them to determine if we pay before pick ups or after picks to be sure of their protocol. They explained that they billed after pick ups at which Lynaire informed them that we paid the second invoice BEFORE our second pick up therefore, we should not be receiving this third bill. Pet Butler looked into the matter and phone back to verify that we were all paid up. Our next pick up is scheduled for November 2025 because the Tooson Lawn Service takes care of this during the mowing season.
The two homes that were in bankruptcy: one has paid (Peterson) 6865 Poplar. The other is out of bankruptcy, but planning on never paying their dues. (Valdez @ 6812 Maplelawn) We discussed on how to pursue future payments from them. For now they are starting with a clean slate but the plan is to move forward with assessing late fees for this year's assessment and start a lien on the home to force their hand. Lynaire spoke to Cameron
about his experience with them while he was treasurer and he told her that the couple never responded to letters or mailings either. Currently investigating the Brown family. Violet Elder contacted Brock and Scott who were handling the foreclosure on the Brown's home somehow they found a way to prevent the home from going into foreclosure. We are trying to find out where the mail is going for 7189 Maplelawn.
Treasury Report
Violet reports that we currently have two homes on payment plans paying on schedule with late fees waived provided the payments continue on time.
New Business
Spring clean up started with cutting back the brush on Maplelawn along both the east & west sidewalk. It also included cutting tree limbs along Poplar across from Merritt near Cameron Watts' home @ 6973 Poplar. A clear path was started going along the fence adjacent to the growth. It is taking a bit more time due to the storms we've had to clear the area fully.
More mulch was needed in the playset area so Lynaire purchased 40 bags of red mulch from Menards. Last year's mulch didn't last long. It was a lower grade and broke down quickly. The new mulch is a better grade and should last longer. We purchased 40 bags.
Phase 1 is going with a different vendor for their lawn service in an effort to save money.
Lynaire asked the board their thoughts on whether we should send homeowners letters this year for need repairs on the external structure of their homes. She was concerned about escalating costs with tariff threats and how this would impact our neighbors. The board was in agreement that the letters should be sent out.
